All vehicles are rented subject to Self Drive Adventures and conditions of the Rental Agreement, which must be signed by all clients.
RATES
Rates are quoted in Botswana Pula (BWP). Rates, conditions and information are subject to change without notice. Rates include VAT but exclude fuel.
FLUCTUATIONS IN EXCHANGE RATES
All credit card payments will be made in Botswana Pula. Due to currency fluctuations, refund amounts may differ from the paid amounts. Self Drive Adventures will not be held responsible or held liable for fluctuation discrepancies.
CREDIT CARDS
Should a credit card be used as means of payment, the owner of the card is responsible for ALL payments and will be jointly and severally liable as a customer. Self Drive Adventures reserves the right to charge the credit card for all outstanding amounts related to the hiring of the vehicle, even if the signed credit card voucher has already been handed in.
AGE/DRIVERS LICENSE
The minimum age for drivers is 21 (twenty one). Please refer to "Young driver" details for renters under the age of 21 (twenty one). There is no maximum age. Drivers must be in possession of a valid unendorsed license. In the event of international clients we strongly recommend that the country of origin license be accompanied by an international driver’s permit. The driver is required to have their driver’s license in their possession at all times. All drivers must present their license for sighting when signing the rental agreements.
YOUNG DRIVER
A client who is between the ages of 20 (twenty) and 21 (twenty one), but has been in the possession of a valid unendorsed, i.e. with no previous traffic conviction, driver’s license for at least 2 (two) years will be considered for vehicle hire.
FORMS OF PAYMENT
Rentals will only be granted to holders of a major credit card, i.e. Visa or MasterCard. For rentals authorization will be obtained.
BOOKING AND DEPOSIT
A provisional booking may be made via the telephone, mobile, fax or email. This will be held for 7 (seven) days but unless the appropriate deposit or full payment is received, the reservation will be cancelled in the stipulated period. In order to confirm your booking, a deposit of a minimum of 25% (twenty-five) non refundable will be required. The balance of 75% is payable in full at least 6 weeks before arrival. Before a booking can be accepted, a member of the party must complete and sign the terms and conditions as indicated. The signatory, who must be 25 (twenty-five) years or older, shall then be deemed as the agent for all persons accompanying the self drive. The signing of the terms and conditions confirms your acceptance of these. All requests for bookings are subject to availability. Once availability has been established and the booking confirmed then the deposit becomes non refundable.
CANCELLATION FEES
The terms and conditions must be read carefully and in the event you or any member of your party wishes to cancel the whole or part of the booking once it has been confirmed, we must be informed in writing. Any cancellation fees that apply are additional to the forfeiture of the booking deposit amount. When calculating the cancellation fees, the calculations will be based on the full listed retail rate and not on any discounted rates. The following cancellation charges will apply:
• If cancelled 25 (twenty five) days prior to pickup - 15% (fifteen percent) of gross rate
• If cancelled 24 (twenty four) days to 6 (six) days prior to pickup - 25% (twenty five percent) of gross rate
• If cancelled 5 (five) days to 0 (zero) days (no show) - 50% (fifty percent) of gross rate
• If vehicle is returned early for any reason, no refund will be considered
INSURANCE COVER
All vehicles come with a complete insurance cover with an excess payable by the renter of P3500 (three thousand Pula) or 5% (five percent) of the claim, whichever is higher. The client is liable for the entire value of the vehicle if due care is not taken. Please refer to the “Due care” clause for more information.
EXCLUSIONS
The client will be liable for the full value of the damage and/or loss where such damage or loss is sustained in circumstances including but not limited to the following:
• As a result of driver negligence
• Where an unauthorized driver i.e. any person other than the driver or additional driver specified on the Rental Agreement
• Driving under the influence of alcohol or illegal substances
• Failure to obtain authorization from Self Drive Adventures to extend the pre-booked rental
• Where accidents are not reported within 24 (twenty four) hours to the nearest police station or to Self Drive Adventures within
6 (six) hours
• Where the vehicle has been beyond the borders of Botswana without the written permission of Self Drive Adventures
• Not being able to produce the keys in case of theft unless exceptional circumstances apply
• Not reporting the exact details of the last known location of the vehicle prior to the theft
• Collisions where no other vehicle, person, animal or object is involved
• Where there has been a material breach of the Terms and Conditions of Rental
• Not adhering to traffic, road and driving rules and regulations
• Driving in unsuitable driving conditions or on unsuitable road conditions as specified in the driver instructor course
• Should the client make use of replacement vehicle, a new contract has to be signed
• No refund will be considered should the client wish to end his/her journey early
• No refund will be considered in the days lost between time of an accident and arrival of a replacement vehicle
• The client is liable for the recovery costs of the damaged vehicle to our offices at Maun, Botswana
OVER BORDER RENTALS
Written prior permission from Self Drive Adventures is required before taking a vehicle beyond the borders of Botswana. Our vehicles are only insured for Botswana, Lesotho, Malawi, Namibia, South Africa, Swaziland, Zimbabwe and Zambia. Therefore these vehicles are NOT to be taken to Angola, Kenya or Tanzania.
ADDITIONAL CHARGES/HANDLING FEES
Self Drive Adventures reserve the right to deduct costs for fines and penalties incurred during the rental period and are for the client’s own account. In addition a P250.00 (two hundred and fifty Pula) handling fee will be levied on traffic penalties incurred. Loss of keys will result in an applicable charge being levied. A valet charge will be levied on all returned vehicles. If there is a loss of or damage to the vehicle, a claim-handling fee of P350.00 (three hundred and fifty Pula) will be charged on termination of the rental.
RENTAL REQUIREMENTS
The client would be required to supply the following:
• Credit card (Visa or MasterCard)
• Name, address, telephone and mobile numbers, email address
• Local contact details
• Driver’s license, passport and identity number
• Next of kin details
• Place of employment, address, contact numbers, designation and supervisor’s full name
OFF-LIMIT AREAS
Should adverse road, weather or political conditions occur, Self Drive Adventures reserves the right to limit entry into such areas.
DUST
Please take into account that most areas in southern Africa only have gravel roads or dirt tracks. It is impossible to prevent dust entering the vehicles, and as such no refund will be given for vehicles not dust proof.
REPAIRS
Although our vehicles go through an intensive maintenance process, small defects do happen. Small repairs up to P 1000 will be refunded on presentation of receipts.
LARGER REPAIRS
Should repairs over P 1000 be necessary, please contact us on the following numbers:

All defects to vehicles and equipment must be reported to Self Drive Adventures. No claims will be refunded if Self Drive Adventures has not been notified prior to the repairs being effected.
TYRES
The client is responsible for the replacement of damaged tyres.
- Please make sure the tyres have the correct pressure.
- Check your tyre pressure regularly.
- Tyres can burst in extreme temperatures.
- Do not drive faster than 100km/h on tarred, 60 km/h on gravel roads and 30 km/h on dirt roads.
- Tyre replacement costs will only be reimbursed if the manufacturer replaces the tyre under guarantee.
- If replacement of a tyre is necessary, please make sure you replace it with the same make, size and profile.
AIR CONDITIONER
Please switch off the air conditioner when the vehicle is parked or not driven for an extended period of time.
DUE CARE
Our vehicles are heavy four-wheel drive vehicles and behave differently to sedans and lighter vehicles. Therefore we request that you:
- Always take into account road and weather conditions.
- Consider that gravel roads are covered with loose rock and the vehicles are therefore prone to slip and slide.
- Do not exceed a speed of 100 (one hundred) km/h on tarred roads, 40 (forty) km/h on gravel roads, 30 (thirty) km/h on bush tracks. Bush tracks are bumpy, uneven and very often have hidden obstacles. Remember you are on holiday, so please drive slowly and carefully and enjoy the scenery.
- Do not drive at night. There are countless domestic and wild animals on the road.
- Undergo a compulsory vehicle education.
PERSONAL VALUABLES
- To curb the possibility of theft, do not leave any valuables in the vehicle.
- In cities we suggest you find secure parking at your campsite and use public transport or a local tour operator to go sight- seeing.
- The client is responsible for insuring his personal belongings.
TRAFFIC FINES/ DAMAGES
Self Drive Adventures reserves the right to deduct the following costs after the vehicle has been returned:
• Traffic fines, including a P 250 (two hundred and fifty Pula) handling fee for settling the fine
• Any damages or loss of equipment not immediately noticed with return of the vehicle
WATER
Our vehicles will be thoroughly inspected for water damage upon return, as water causes serious long-term damage to vehicles. The client is liable for these damages.
Malicious damage to the vehicle or equipment will be charged to the hirer. These include reckless driving, disregarding traffic laws, driving under the influence of alcohol or illegal substances, driving at night, standing on the bonnet or roof of the vehicle, driving with hand brake on, burning the clutch, miss-use of the hub locks, etc.
INSTRUCTION
With receipt of the vehicle, instructions of its use will be given to the client. We try to make you aware of the pitfalls on the roads to ensure your safety and comfort. Basic maintenance of the vehicles will be demonstrated, as well as use of 4x4 systems and high lift jacks, how and where to use them.
CREDIT CARD HOLDING FEE
For every vehicle hired there is compulsory holding fee of BWP 15 000. This is taken by means of a credit card voucher which is not put through the clients account unless there is a breach of contract. The voucher is held safely on file until satisfactory return of the vehicle and it has been inspected for damage and/or loss of any equipment.
